Choosing software

How to choose school management software in Nigeria

Published 17 September 2026

Most Nigerian proprietors do not set out to buy software. They set out to stop one specific pain: a wrong grade on a report card, a WhatsApp broadcast that leaked to the wrong parent, a teacher who spent a whole weekend on totals that still came out wrong. The software search starts from there, which is why so many schools end up comparing tools on the wrong things.

What actually matters when choosing school management software

Strip away the feature lists and most Nigerian schools are solving for the same handful of problems: accurate results, controlled delivery, and a system teachers will actually use. Everything else (calendars, fee modules, library tracking) is worth having but rarely the reason a school switches.

Before comparing vendors, get clear on which of these you are actually buying:

  • Result computation: totals, grades, and class positions worked out correctly, including ties, without a spreadsheet formula someone has to maintain.
  • Approval control: a gate between a teacher entering a score and a parent seeing it, so mistakes get caught before they leave the school.
  • Delivery to parents: a portal or notification that replaces printed slips or WhatsApp broadcasts, without leaking one child's result to another family.
  • A record that survives: last term's report cards still retrievable next year, not locked in a laptop that later gets formatted.

Questions worth asking before you commit

Does it match how your school actually grades? Every Nigerian school has its own CA-to-exam split and its own grade boundaries. Software that assumes a fixed 30/70 split or a fixed grading scale will fight you every term.

Who is the pricing actually for? Per-student pricing looks reasonable at your current enrolment and becomes expensive the moment you grow. A flat fee per school is the only structure that does not tax admissions.

What happens if you leave? Ask whether your data exports cleanly (past results, student records, everything), or whether it is only readable inside that vendor's system. A school's records should outlast any one piece of software.

Will teachers actually use it? The best result engine is worthless if teachers avoid it. Look for score entry organised the way a paper score sheet already works (by class, subject, term) rather than a generic spreadsheet import that adds a step nobody wanted.

Can you try it without paying first? A vendor confident in their product lets you run a full term before charging you. Anyone asking for payment before you have processed a single result is asking you to buy on faith.

A short checklist

  1. Enter one class's scores the way your teachers actually would
  2. Confirm class position handles ties the way your school expects
  3. Check what a parent sees, not just what an admin sees
  4. Confirm the pricing does not rise just because your school grows
  5. Confirm you can export everything if you ever switch

None of this requires technical knowledge. It only requires trying the product with your own data before deciding, which is the one step schools most often skip when a vendor is persuasive on a phone call.

Frequently asked questions

What is the most important feature in school management software?
Accurate result computation with an approval step before parents see anything. Calendars, fee modules and other add-ons are useful, but they are rarely the reason a school switches software.
Should I choose software billed per student or per school?
Per-school pricing is safer for any school that plans to grow, since the fee stays fixed as enrolment rises. Per-student pricing rises every time you admit a child.
Can I try school management software before paying?
You should be able to. A vendor confident in their product lets you run a full term with real data before asking for payment. Skolrun is free for your whole school until you first send results to parents, or for 120 days, whichever comes first, with no card required.
